Renewal Autopilot

Renewal Autopilot turns Scroll from a tool you operate into a system that works in the background. It watches every client's licence, visa, CR, GOSI, and tenancy deadlines, auto-prepares the renewal before it's due, asks the client for anything missing, holds it for your approval, and rolls the deadline forward so each client renews itself year after year.


Set it up once per client

On a client, add a renewal automation with three things:

Setting Meaning
Workflow Which renewal to run (e.g. Trade Licence Renewal, DEWA, Visa Renewal).
Deadline When the licence / visa / CR actually expires.
Auto-prepare days How many days before the deadline to start (e.g. 30).
Renewal period How far to roll the deadline forward after completion (default 12 months).

That's the only setup. You do not run the workflow yourself, Autopilot does.


What it does, daily

A daily job scans every active automation and acts on those whose deadline is inside the auto-prepare window:

  1. Prepares the renewal automatically, pulling the client's stored data, applying PII redaction, and running the workflow (which uses live web search to reflect current fees/rules).
  2. If a required field is missing that only the client can provide, it auto-generates a targeted intake link asking for only the missing fields, and parks the renewal as "Awaiting client info." When the client submits, it resumes automatically.
  3. Otherwise the prepared renewal moves to "Ready for approval."
  4. The firm gets a consolidated digest (e.g. "3 renewals prepared and waiting for review") via notifications.

The human gate

Every prepared renewal stops at the approval gate, nothing is submitted to DED / MOHRE / GOSI / etc. automatically. You open it, review, and Approve (see Approvals & Provenance Vault).


Perpetual recurrence

When an approved renewal completes, Autopilot rolls the deadline forward by the renewal period (e.g. +12 months) and resets the automation to "scheduled." The same client then renews itself next cycle, no re-setup. This is the engine behind recurring value (and recurring revenue).


The Autopilot dashboard

The Autopilot view groups every renewal by state:

Group Meaning
Ready for approval Prepared and waiting for your one-click sign-off (with a Review button).
Awaiting client info Parked until the client supplies missing details via the generated link.
Upcoming renewals Scheduled, with a days-to-deadline countdown.
Recently renewed Completed; deadline already rolled forward.

Web search & deadlines

Deadlines come from the client's documents (the licence/visa itself), not the web. But because each auto-prepared run uses live web search, it still catches fee or rule changes since the last renewal, so the prepared package reflects the latest requirements.
